Adding a Vaccination Record
How to add a vaccination to your horses' profile
To Add a Vaccine, you must select Upload Proofs to expand the section. Then select Upload Proof. You will then be brought to the uploaded proof of health status for your horse's page.
Here, you must select a document to upload and tick the vaccine as proof you will be uploading. You must also select if the vaccine was administered by a veterinarian or self-administered. (If you choose to self-administer, you must input the serial number, vaccine name, and vaccine expiration date. A green banner will appear when you upload your proof. You must also upload the documentation to support your vaccination validity so your horse's health status can be verified. Then select Save and Upload. Your horse's vaccination status will then be viewed as pending. Once the document has been verified by our system you will receive a notification via email and your horses Health Status will view as Verified.
You may also upload a vaccination by clicking the 'Add Vaccine' button on your horse profile. This will bring you to the Upload Proofs page.
How to Add Health Cert for one horse.

To Add a Health Cert, you must select Upload Proofs to expand the section. Then select Upload Proof. You will then be brought to the uploaded proof of health status for your horse's page.
Here, you must select a document to upload and tick Health Certificate as the proof you will be uploading. Then select Save and Upload. A banner will appear once you have selected save and upload to let you know this proof has been uploaded for verification. Your horse's Health Cert status will then be viewed as pending. Once the document has been verified by our system you will receive a notification via email and your horses Health Status will view as Verified.
You may also upload a Health Cert by clicking the 'Add Health Cert' button on your horse profile. This will bring you to the Upload Proofs page.
How to Add Coggins
Uploading a Coggins
To Add a Coggins, you must select Upload Proofs to expand the section. Then select Upload Proof. You will then be brought to the uploaded proof of health status for your horse's page.
Here, you may add your horse's Coggins test certificate. You must select a document to upload and tick Coggins as the proof you will be uploading. Then select Save and upload. A banner will appear once you have selected save and upload to let you know this proof has been uploaded for verification. Your horse's Coggins status will then be viewed as pending. Once the document has been verified by our system you will receive a notification via email and your horses Health Status will view as Verified.
You may also upload a Coggins by clicking the 'Add Coggins' button on your horse profile. This will bring you to the Upload Proofs page.
How to Add Temperatures
You can Add a temperature to your Horse's profile on the EventPass Platform
On the home screen, select Horses to expand the section, then select All Horses. You will then be brought to the Al Horses page. You can just select the horses you wish to upload a temperature for by clicking See More on to the right of the horses name. Once you have arrived to the Horse's Profile click the Add Temperature Button. Input your horse's AM and PM Temperature for the last 7 days, ensuring you put in the correct temperature for the correct date. To save, click the Save button.
How to upload documents for multiple horses
You can upload documents for multiple horses so you can get their documentation verified in order to create an Event Pass for your shows.
On the home screen, select Health Proofs, then select Upload Proof. You will then be brought to the upload proof page. You can just select the horses you wish to upload proofs. They will then appear in the Added tab on the right-hand side. To upload a document, you must select drag or drop files here or click to upload your chosen document. You must select one type of proof that you are uploading (Vaccine, Coggins, or Health Cert) When you have selected the horses and the document you wish to upload and have selected the type of proof it is for, you must then select save to upload the document. Once it is successfully uploaded, a green banner will appear to tell you it has been uploaded.
Your horse's Health status for the documents you have uploaded will then be viewed as pending. Once the document has been verified by our system you will receive a notification via email and your horses Health Status will be viewed as Verified.
How to view your Uploaded Health Documents
In order to view your uploaded health proofs you can do so by following the steps below.
To view all of your uploaded health proofs, you must select the Health Proofs drop-down and then select All Uploaded Proofs. You can view each proof’s status, the type of proof, and further details. You can view each proof status. If you have recently uploaded proofs you can see if they are pending or approved or rejected and for what reason.
How to View Horse Health Status
You can view each horses' health status on their profile by following the steps below.
Select the Horses tab, then select All Horses. Here you will view the horses page.
In order to view your horses health status, you must select ‘See More’ to be brought to your horses profile to view their health status. Here you will be brought to your horse's profile where you can see your horse's vaccine, Coggins, temperature and health cert status. Your horse health status will either one of the below status' depending on the documents you submit.
Why are my horses' documents not valid?
Your EventPass may not be valid for a number of reasons. Depending on the icon shown on your horses profile, this will explain why.
When you submit your documents for verification on EventPass you will do so and they will be approved or otherwise, depending on the status of your documents.
The icons below are the possible outcomes when uploading a document. Upon initial upload, your document will view as pending until it has been approved by our system. Do not be concerned about this, our system will review your document and your document status will be updated. You will receive a notification when your document has been reviewed and it's status has been changed.
Please keep in mind that although your horse's health status may be valid on their profile, when applying for a show if they are expiring soon or not in line with the show requirements, then they will not be valid and will need to be updated accordingly.
If you are unsure why your horses' health documents is not valid it may be because of one of the reasons below. Please note that your documents will view as pending when uploaded initially until your documents have been reviewed and verified by our system.
How do I know if my EventPass is expired?
The icon that appears on your horses profile will show the status of your documents.
If any of the documents on your horses profile are expired, your EventPass will no longer be valid.
Shortly before your document is due to expire, while viewing your horse's document, you will notice the icon display 'Expiring Soon' to alert you of the upcoming expiration.
Once your document has expired, you will notice that it's no longer considered valid. This change will be reflected on your horse's profile, where it will be marked as 'Invalid.'
Please note that your horse's document may appear valid on their profile, if it is approaching expiration or has already expired, it will not meet the necessary requirements for a future show depending on its expiration date. In this case, the document will need to be updated accordingly in order to comply with the show’s requirements.
Why is my Health Cert Showing as Expired?
If you have uploaded a Health Cert to EventPass you can check it's status on your horse's profile
Please note that even if your Health Shows expired, there may be a reason for this. Some health certs show expired, but if the show you are attending has requirements that allow for a health cert within 150 days, you will still be able to create an EventPass.
An explanation for this may be because there are strict rules for travel between States ("Interstate Travel"), but some shows may have different rules, particularly for horses travelling within the State
For CVIs this is 30 days, for EECVIs this is 6 months.
However, even if a CVI is no longer valid for interstate travel, it can still be valid for other uses, including complying with the rules for certain shows.
If you have uploaded a Health Cert to EventPass you can check it's status on your horse's profile.
How long does it take for my Documents to be verified?
Once your documents have been uploaded, they must be verified by our system
If you have uploaded health documents, it may take up to several of hours to verify your documents if you are an EventPass Lite user. If you are a paid EventPass user, one of the benefits is having document Approval priority. Once your documents have been verified, you will receive a notification via email to let you know that your documents have been reviewed and verified.
