How long will it take for my Health Document to be Verified?
Verification times depend on your EventPass plan and submission volume.
EventPass Lite users:
Health document verification can take several hours. During high-volume periods such as ship in days, weekends, or after business hours, please allow up to 8 hours for approval.Paid EventPass users:
Paid plans include priority document review, so verification is typically completed faster than for Lite users.
Once your Health Document has been reviewed and verified, you will receive a confirmation email notification.
Why did my Document get rejected?
There are a few reasons why your document could have been rejected.
One of the most common rejection reasons is that documents will not have the same matching names. Make sure when uploading a document the name on the Health Document matches the horses USEF Name, Show Name, or Barn name in their account. To help fix this issue we recommend putting the horses USEF/Show name in the Registered Name of the horse and then adding the horses barn name as well into their profile. That way if your Veterinarian includes a horses barn name instead of Show name our system will be able to use the horses barn name to verify the documents.
Another reason that documents get rejected is that they do not contain all the information required. Here are some other tips to help make sure your document gets approved.
For Vaccines:
If it is given by a veterinarian the document must include:
Horses name (which needs to match the horses USEF name, show name, or barn name in your account)
Veterinarian name and clinic name
Vaccine given
Date vaccine was administered.
If the vaccine is self-administered, the document must include:
Horse Name and/or ID is matched to the USEF Horse Record, or matches the show or barn name of the horse
Vaccine is listed
Vaccination date is listed and is within the 6 month requirement
Lot and batch number are listed
Owner/Agent Signature and date
Receipt for purchase is included
For Health Certs:
The Health Certification or Veterinary Statement of health must include:
Horses name (which needs to match the horses USEF name, show name, or barn name in your account)
Veterinarian name and signature
Date of Inspection
For Coggins
Make sure the name on the Coggins matches the horses USEF Name, Show Name, or Barn name in their account
Coggins must also include test result, veterinarian name and signature.
Another common mistake is accidentally selecting multiple horse when only one horse is listed on the document. The document will be approved correctly for the horse listed on that document (if the horse has been selected as well). The other horses will be rejected for the reason 'Horse not listed on Proof'. However, they may have been previously accepted on another document. Please check you account and your horses status to see if their documents have been verified. The account will always reflect the most up to date information that has been verified.
Why do I keep getting an error message when I'm trying to upload my document on the App
There are various reasons as to why you will receive an error message when trying to upload a document. Here are some common codes you might recieve and what to do.
Error code 401 (Connection Issue) - This error typically appears when your device has a weak or unstable internet connection.
check that you're in an area with a strong signal or switch to a reliable Wi-Fi network
Next, try hard closing the app and reopening it
If the issue continues, submit an Issue Reporting Ticket through the app and attach your document. Our team will review and upload it for you.
Error Code 402 (Unsupported file type) - This means the document you're trying to upload isn't in a supported file format.
Please message the support team on the app and include your documents so we can get them uploaded for you.
Error Code 422 (Syncing Issue) - this code is due to a syncing issue.
Please contact support to get this issue resolved.
What does each Icon mean in regards to my Horses Health Status?
Document Status and Their Meaning
Once your document has expired, you will notice that it's no longer considered valid. This change will be reflected on your horse's profile, where it will be marked as 'Invalid.' If your status turns orange/yellow that means your document is expiring soon. It is still valid until the expiration date which you will be able to see on your horses profile. If the expiration date is after the show you are wanting to attend you will still be able to create your EventPass. If it expires during the show you may or may not be able to create your EventPass based on what that show requires.
My Horses profile is saying my document is Expiring Soon or Expired can I still create an EventPass?
This depends on the status of the document and the specific requirements of the event.
Expired documents:
If any document on your horse’s profile is expired, you will not be able to complete an EventPass for that horse.Expiring Soon documents:
If a document is marked Expiring Soon but remains valid through the end of the show, you will be able to create an EventPass.Documents expiring during the show:
If a document expires during the event, and the show requires all documents to be valid for the entire duration of the show, you will not be able to complete your EventPass.
Please note that each show has its own document requirements. You must meet all event-specific rules in order to successfully create an EventPass.
Do I need a Health Certification to create my EventPass?
Each show sets its own Health Certification requirements, which may differ for in-state and out-of-state horses.
Out-of-State Horses: Most shows require a Certificate of Veterinary Inspection (CVI) that is valid within 30 days of arrival. Some shows may require a CVI issued 14 days or even 7 days prior to arrival.
Certain shows will also accept an Electronic Equine CVI (EECVI) that is valid for up to six months from the arrival date.
In-State Horses: Depending on the show, a Health Certification may not be required for in-state horses. For example, WEC-Ocala and HITS-Ocala currently do not require any health certification for in-state horses under their standard requirements. This may change if an outbreak occurs.
Other shows may still require a CVI issued within 30 or 14 days prior to arrival, so it is important to check the specific requirements for each show.
Please Note: Veterinary Statements of Health are not required, as no shows are currently requesting them.
My Horse has an expired/invalid Health Cert but the show I am attending does not require one
If your health certification that you uploaded is no longer valid but the show you are trying to attend does not require one you will not need to upload a new health certification/statement of health. You can still create and complete your EventPass even though your Health Certification/Statement of Health is no longer valid on their profile.
Why did I get an Email saying my document was rejected but on my profile it says verified?
The reason you might get an email saying your document has been verified as well as emails saying your document has been rejected could be because you uploaded multiple duplicates. This does not affect your horses health status. You can double check this by going to your profile and checking your horses health status. If it has a green check mark or says verified and the expiration date is correct then the document has been processed correctly in our system and the duplicates were rejected.
It is saying I cannot create an EventPass because of my vaccines but my horse has an up to date Flu/Rhino vaccination
Even though your horse is up to date with your Flu/Rhino vaccination some shows might have requirements for other vaccines. If you have only uploaded documents with your Flu/Rhino vaccines included and not the other Core Vaccines that AAEP recommends you might not be able to create an EventPass if a show requires an additional vaccine. Additionally, if you have in the past uploaded a document with these core AAEP recommended vaccines but they are now expired you will need to upload a new document with a more current record for the show that requires a specific vaccine.
How do I delete a horse on my account?
To remove a horse from your account, select the Horses button at the bottom of the screen. Next, tap on the horse you would like to remove. In the top-right corner, select the Edit Icon. Scroll down to the bottom of the horse’s profile and update their status to On Property, Off Property, Sold, or Deceased. Once selected, press Save.
On the web, when you are in the Horses tab, select See More, on the far right of the screen, of the desired horse. In the top-right corner of the horse’s profile, select Edit Details. Scroll to the bottom of the profile, where you can update the horse’s status to On Property, Off Property, Sold, or Deceased. Once finished, press Save.
How do I know if I met all my Health Requirements?
You can check whether you meet all health requirements by starting an EventPass and selecting the horses attending. EventPass will automatically show you if any required health documentation is missing (or not yet verified).
You can begin creating an EventPass even if all documents are not yet verified. As your health documents are verified, your EventPass will update automatically. Once all requirements for the show are met, you will be able to complete your EventPass.
How do I find my EventPass? How do I download it?
On the home screen of the app, select the 'EventPass' button. Here you can scroll left and right to view all the EventPasses you have currently created. You cannot download it from here but you can take a screenshot of the code and share it to whoever you need to.
How do I create an EventPass?
From the EventPass home screen on the app, tap “+ Add” and select EventPass. Search for and select your show.
Tap “+ Attend” and choose whether your horses are traveling In-State or Out-of-State.
Select the origin location (state/county). This applies to all horses but can be edited individually.
Select your horses. You’ll see indicators showing whether health requirements are met.
(Optional) Add additional show weeks at the same venue.
Enter arrival and departure dates, then tap Save.
If all requirements are met, your EventPass and QR code will be issued.
If documents are missing, upload and verify them in the horse’s profile—your EventPass will update automatically.
Some shows require a Health Declaration, which opens 48–72 hours before arrival. You’ll be notified by email when it’s available. Once completed, your EventPass will be finalized.
I am arriving later than the arrival date listed on my EventPass. Does that matter? Do I need to create a new EventPass?
No, you do not need to create a new EventPass if you arrive later than the arrival date listed. Your EventPass will still be valid, and there is no need to create a new one or update the arrival date.
My EventPass is not working and I cannot move to the next step or save?
When creating an EventPass, you must first select whether you are arriving from in-state or out-of-state, then choose the state and county at the top of the EventPass. This information will be applied to all horses on the pass.
Next, be sure to select the horse or horses you want to include by clicking the checkbox next to each horse’s name. Once at least one horse is selected, you will be able to continue to the next step.
