Create an EventPass via Web Browser

Before You Begin

Before you can create or complete an EventPass, you must:

  • Create a profile for each horse on your account

  • Upload all required health documents to each horse’s profile

  • Ensure all documents have been reviewed and verified by the EventPass system

Without verified documents, your EventPass cannot be completed.

Creating an EventPass on the Web

Step 1: Go to Shows

  1. Select the Shows tab, on the left side of your screen.

  2. Click Add Show to Attend.

  3. Find the show you wish to attend by:

    • Searching for the show in the search bar, or

    • Using the available filter fields to narrow your search

  4. Once you find the correct show, select Create Pass.

Step 2: Select Travel Location

At the top of the screen, select whether the horses are traveling In-State or Out-of-State (or Province).

  • This selection will apply to all horses on the EventPass.

  • Health requirements may change depending on if the horses are coming from in or out of state

For example, horses traveling in-state may not be required to have a Health Certificate.

  • In-State Travel (or Province): Select the county (or district) you are coming from.

  • Out-of-State Travel: Select both the state and county (Province/District) you are coming from.

Step 3: Select Horses

  1. Select the box next to each horse you want to include on the EventPass.

  2. On the far right side of the screen, you will see:

    • The health requirements for each horse

    • Whether each requirement is met

    • Green = requirement met

    • Red = requirement not met

You may still select horses that do not currently meet all requirements. This usually means:

  • Updated documentation needs to be uploaded, or

  • Documents are still pending verification

When finished selecting horses, select Next in the top-right corner of the screen.

Step 4: Add Additional Show Weeks (Optional)

If you are attending multiple weeks at the same show:

  1. Select all additional weeks you plan to attend.

  2. Select Add these shows.

This allows you to use one EventPass instead of creating a new pass each week.

If you are not attending additional weeks, select Not Attending other shows.

  • If you are unsure which weeks you will attend, you may select this option. Keep in mind that you will need to create a new EventPass at the start of each additional week.

Step 5: Arrival and Departure Dates

  1. Under Apply to all horses, select the arrival and departure dates.

    • These dates will apply to every horse.

  2. If one or more horses have different arrival or departure dates, update those horses individually.

  3. Scroll down and select Next.

Step 6: Review and Submit EventPass

The next page will display:

  • All horses included on the EventPass

  • Whether their health documents meet the requirements for this specific show

If a horse does not meet a requirement, you will see a blue icon instead of green under the applicable document type:

  • Coggins

  • Vaccinations

  • Health Certificates

If all documents are verified and no Health Declaration is required, select Submit to complete your EventPass and generate your QR code.

Viewing and Downloading Your QR Code

  1. Select Close / View Event Passes.

  2. Locate the show and select View Pass. On far right side of your screen (you might need to scroll the screen to the right if you cannot see 'View Pass')

  3. Select Download.

From here, you can:

  • Screenshot the QR code, or

  • Select Download EventPass to email or text the QR code


How to view or Edit your EventPass on the web once created

Once your EventPass has been created, you can view all of your EventPasses and upcoming shows by selecting Shows from the menu on the left side of the screen, then clicking Event Passes.

On the Event Passes page, you will see a list your EventPasses, and their current status.

Viewing a Completed EventPass

If your EventPass has been completed:

  1. Locate the desired show in the list.

  2. Select View Pass on the far right side of the screen.

    • You may need to scroll horizontally to see the View Pass option.

  3. From there, you can view and download your EventPass.

Editing an Incomplete EventPass

If your EventPass has not yet been completed, you can make changes such as updating arrival dates or removing horses from the pass.

  1. Locate the desired show in the list.

  2. Select Edit Pass on the far right side of the screen.

    • You may need to scroll horizontally to see the Edit Pass option.

  3. Once the EventPass opens, you can:

    • Edit arrival dates.

    • Remove horses from the pass.

  4. Save your changes when finished.

How to Complete your Health Declaration once it opens on the web

To complete your health declaration once it open select Shows on the left of the Once your Health Declaration becomes available, you can complete it by following these steps:

  1. Select Shows from the menu on the left side of the screen.

  2. Click Event Passes.

  3. Locate the desired show and select Edit Pass on the far right side of the screen.

    • You may need to scroll horizontally to view the Edit Pass option.

On the Edit Pass page, you can review your EventPass information, including arrival and departure dates and the horses listed on the pass.

  1. After reviewing your information, select Next.

  2. If all show requirements have been met, the Complete Health Declaration button will become available.

  3. Complete and submit the Health Declaration form.

  4. After submitting the form, select Submit again to finalize your EventPass.

Once submitted, your EventPass will be complete and you can view you QR code.

How to Edit your Arrival and Departure Dates on your EventPass on the web

If Your EventPass Is Completed

Arrival dates cannot be edited once an EventPass has been completed.

  • If you arrive 1–2 days earlier than the arrival date listed on your EventPass, your pass will still be valid.

  • If you plan to arrive several days earlier, please contact Support so they can update the arrival date for you.

Departure dates can be edited after the pass is completed.

To edit a departure date:

  1. Select Shows from the menu on the left side of the screen.

  2. Click Event Passes.

  3. Locate the appropriate EventPass and select View Pass.

    • The View Pass button is on the far right side of the screen. You may need to scroll horizontally to see it.

  4. Update the departure date(s) as needed.

If Your EventPass Is Incomplete

Arrival dates can be edited while the EventPass is incomplete. Departure dates cannot be edited until the EventPass has been completed.

To edit an arrival date:

  1. Select Shows from the menu on the left side of the screen.

  2. Click Event Passes.

  3. Locate the desired show and select Edit Pass.

    • The Edit Pass button is on the far right side of the screen. You may need to scroll horizontally to see it.

  4. Edit the arrival date(s) for each horse as needed.

How to Remove or Add horses to your EventPass on the web

Removing a Horse from an Incomplete EventPass

You can only remove a horse if the EventPass has not yet been completed.

To remove a horse:

  1. Select Shows from the menu on the left side of the screen.

  2. Click Event Passes.

  3. Locate the desired EventPass and select Edit Pass.

    • The Edit Pass button is located on the far right side of the screen. You may need to scroll horizontally to see it.

  4. Find the horse you want to remove and select Remove next to that horse.

  5. Click Next.

  6. A confirmation pop-up will appear showing the horse(s) being removed and asking whether you want to continue.

  7. If the information is correct, select Yes.

  8. Click Submit to save and complete the updated EventPass.

Important: If you created EventPasses for multiple weeks, removing a horse from one EventPass will not automatically remove it from EventPasses for other weeks.

Adding a Horse to an EventPass

Horses cannot be added to an existing EventPass even if not completed. To add a horse, you have two options:

Option 1: Delete and Recreate the EventPass

  1. Select Shows from the menu on the left side of the screen.

  2. Click Event Passes.

  3. Check the box next to the EventPass you want to replace.

  4. Select Delete Selected Event Pass in the upper-right corner of the screen.

  5. Create a new EventPass that includes all desired horses.

Option 2: Create an Additional EventPass

Instead of starting over, you can create a separate EventPass for the same show that includes the additional horse(s).

You may have multiple EventPasses for the same show. However, a horse can only be selected once per show week. If a horse is already included on an EventPass for that show for that week, you will not be able to complete another EventPass for that same horse for that same show/week.

If the EventPass Is Already Completed

Completed EventPasses cannot be edited.

To Add a Horse

Create a new EventPass for that show week that includes only the additional horse(s).

To Remove a Horse

No action is required. If a horse listed on a completed EventPass is no longer attending or competing, there is no issue with leaving that horse on the EventPass. The completed pass will remain valid.
