Health Documents in EventPass via Web Browser

Lets get started with how to upload your horse health documents to EventPass via web browser

Here's How to Upload Vaccinations, Health Certificates and Coggins via Web Browser and check your Proofs Status

How to add a vaccination record via web browser

Adding a vaccination record to your horses profile

To Add a Vaccine via the web browser, you must select 'Upload Proofs' to expand the section. Then select 'Upload Proof'. You will then be brought to the page where you can select the horse (or horses) that are included on the vaccination report you wish to upload. You will see in the section on the left all the horses in your account. You can also search for the horse by name. Select the 'Add' button by their name and you will see the horse mover over to the 'Added' section of the page. Here you can see how many horses you are including for this specific document. If you accidentally click the wrong horse you can easily select the 'x' button located near their name and they will disappear from the 'Added' list and appear back on the left side of your screen.

Next, you must select the type of proof you will be uploading whether that be a coggins, health certification, or vaccine. When you select vaccine it will ask you whether the vaccine was given by a veterinarian or a self-administered vaccine. If it is given by a veterinarian the document must include:

  • Horses name (which needs to match the horses USEF name, show name, or barn name in your account)

  • Veterinarian name and clinic name

  • Vaccine given

  • Date vaccine was administered.

If the vaccine is self-administered, the document must include:

  • Horse Name and/or ID is matched to the USEF Horse Record, Show name, or matches the barn name of the horse

  • Vaccine is listed

  • Vaccination date is listed and is within the 6 month requirement

  • Lot and batch number are listed

  • Owner/Agent Signature and date

  • Receipt for purchase is included

Next select the document or photo you wish to upload. Then select 'Save'. A banner will appear once you have selected 'Save' to let you know this proof has been uploaded for verification. Your horse's vaccination status will then show as pending. Once the document has been verified by our system you will receive a notification via email. Note: that for lite users verifying documents can take a few hours to be approved and priority goes to those with a paid subscription.

You may also upload a vaccination by clicking the 'Add Vaccine' button on your horse profile. This will bring you to the Upload Proofs page.


How to Add Health Certification or Veterinary Statement of Health via web browser

Adding a Health Certificate or Veterinary Statement of Health

To Add a Health Cert (CVI or EECVI) or Veterinary Statement of Health via the web browser, you must select 'Upload Proofs' to expand the section. Then select 'Upload Proof'. You will then be brought to the page where you can select the horse (or horses) that are included on the Health Certification you wish to upload. You will see in the section on the left all the horses in your account. You can also search for the horse by name. Select the 'Add' button by their name and you will see the horse mover over to the 'Added' section of the page. Here you can see how many horses you are including for this specific document. If you accidentally click the wrong horse you can easily select the 'x' button located near their name and they will disappear from the 'Added' list and appear back on the left side of your screen.

How to Add Coggins via web browser

To Add a Coggins, you must select 'Upload Proofs' to expand the section. Then select 'Upload Proof'. You will then be brought to the page where you can select the horse that are included on the Coggins you wish to upload. You will see in the section on the left all the horses in your account. You can also search for the horse by name. Select the 'Add' button by their name and you will see the horse mover over to the 'Added' section of the page. Here you can see how many horses you are including for this specific document. If you accidentally click the wrong horse you can easily select the 'x' button located near their name and they will disappear from the 'Added' list and appear back on the left side of your screen.

Make sure the name on the Coggins matches the horses USEF Name, Show Name, or Barn name in their account. Coggins must also include test result, veterinarian name and signature.

Your horse's Coggins status will then show as pending. Once the document has been verified by our system you will receive a notification via email. You may also upload a Coggins by clicking the 'Add Coggins' button on your horse profile. This will bring you to the Upload Proofs page.


How to Add Temperatures

You can Add a temperature to your Horse's profile on the EventPass Platform

On the home screen, select 'Horses' to expand the section, then select 'All Horses'. You will then be brought to the All Horses page. You can just select the horses you wish to upload a temperature for by clicking 'See More' to the right of the horses name. Once you have arrived to the Horse's Profile click the 'Add Temperature' Button. Input your horse's AM and PM Temperature for the last 7 days, ensuring you put in the correct temperature for the correct date. To save, click the 'Save' button.

How to view your Uploaded Health Documents

In order to view your uploaded health proofs you can do so by following the steps below.

To view all of your uploaded health proofs, you must select the 'Health Proofs' drop-down and then select 'All Uploaded Proofs'. You can view each proof’s status, the type of proof, and further details. You can view each proof status. If you have recently uploaded proofs you can see if they are pending, verified or rejected and for what reason.

How to View Horse Health Status

You can view each horses' health status on their profile by following the steps below.

Select the 'Horses' tab, then select 'All Horses'. In order to view your horses health status, you must select ‘See More’ to be brought to your horses profile to view their health status. Here you can see your horse's vaccine, coggins, temperature and health cert status.

Document Status and Their Meaning

Understanding your document status

The icons below are the possible outcomes when uploading a document. Upon initial upload, your document will view as pending until it has been approved by our system. Once our system processes your document it will update the status in your account. You will receive a notification when your document has been reviewed and it's status has been changed.

If your document is rejected you should receive a rejection reason.

Please keep in mind that although your horse's health status may be valid on their profile, when applying for a show if they are expiring during the show then you will not be able to create an EventPass for that show. Additionally some shows have specific requirements and you must make sure your horses profile contains all the requirements for that specific show in order to complete your EventPass.
