How to Create an EventPass

Before You Begin

Before you can create or complete an EventPass, you must:

  • Create a profile for each horse on your account

  • Upload all required health documents to each horse’s profile

  • Ensure all documents have been reviewed and verified by the EventPass system

Without verified documents, your EventPass cannot be completed.

Creating an EventPass in the App

Step 1: Start a New EventPass

  1. From the EventPass app home screen, tap the “+” button labeled Add.

  2. Select EventPass.

  3. Use the search bar to find the horse show you plan to attend.

You can also use the Filter button (funnel icon) to narrow results by:

  • Venue

  • State (or Province)

  • City

To remove a filter, tap the “X” next to the selected filter at the top of the screen.

Step 2: Select the Show

  1. Locate the correct show.

  2. Tap “+ Attend”.

You will then be prompted to select whether your horses are traveling In-State or Out-of-State.

Important: Health requirements may vary depending on travel status. For example, some in-state horses may not be required to have a Health Certificate.

Step 3: Choose Origin Location

  • In-State (or Province) Travel:

    • Select the county (or district) your horses are arriving from under “County horses are arriving from.”

    • This selection will automatically apply to all horses.

    • If a specific horse is coming from a different county, you can edit that horse’s county individually.

  • Out-of-State Travel:

    • Select both the State (or Province) and County (or District) the horses are arriving from.

    • These selections will also apply to all horses but can be adjusted individually if needed.

Step 4: Select Horses

  1. Check the box next to each horse you plan to bring to the show.

  2. Under each horse’s name, you will see health requirement indicators:

    • Green = requirement met

    • Red = requirement not met

Requirements shown may include:

  • Coggins

  • Vaccinations

  • Health Certificate

You may still select horses that do not currently meet all requirements. This usually means:

  • New or updated documents need to be uploaded, or

  • Documents are pending verification

Once finished, tap Save.

Step 5: Add Additional Show Weeks (Optional)

If you are attending multiple weeks at the same venue:

  1. Select all additional weeks you plan to attend.

  2. Tap Add these shows.

This allows you to use one EventPass instead of creating a new one each week.

If you are not attending additional weeks:

  • Select Not Attending other shows.

If you are unsure of your future weeks, you may select this option, but keep in mind you will need to create a new EventPass for each additional week later.

Step 6: Arrival and Departure Dates

  1. Under Apply to all horses, select the arrival and departure dates.

    • These dates will apply to every horse by default.

  2. If any horse has different dates, adjust them individually.

  3. Scroll down and tap Save.

Completing Your EventPass

  • If all health requirements are met, your EventPass will be completed and your QR code will appear.

  • If requirements are missing, you will see a red message at the top stating:
    “Unable to create EventPass: Please ensure all horse information is complete to proceed.”

Tap Requirements to view:

  • Each horse included

  • Exactly which documents or requirements are missing

Once the missing documents are uploaded and verified in the horse’s profile, the EventPass will automatically update.

Health Declaration (If Required)

Some shows require a Health Declaration as the final step.

  • The Health Declaration typically opens 48–72 hours prior to arrival, depending on the show.

  • You will receive an email notification when it becomes available.

  • To complete your EventPass on the app, on the home screen select the 'EventPass' button. You can scroll through your EventPasses by swiping left or right. Once you have found the correct EventPass select 'Complete Health Declaration'

  • Once completed, your EventPass will be finalized and your QR code issued.


How to view your upcoming shows and find your QR code on the app

To view your upcoming shows, select EventPass (located next to Upload) from the main home screen of the app.

In this section, you can view all of your current EventPasses and their status by swiping left or right.

Once you find the correct EventPass, you can:

  • Take a screenshot of your QR code

  • Add it to your Apple Wallet

  • Share it by selecting the Share icon (located next to Requirements)

Please note: Your QR code will change for each show week. However, the same QR code can be scanned multiple times throughout that week.


How to view requirements or see what document your horse is missing from an EventPass on the app

To do this from the home screen select 'EventPass' (next to Upload). Then find the desired EventPass by swiping left or right. Tap Requirements to view:

  • Each horse included

  • Exactly which documents or requirements are missing

To view the requirements set up for this show, select the eye icon located next to the show name at the top of the screen. This will display all requirements set up by the show that must be met in order to complete your EventPass

Once the missing documents are uploaded and verified in the horse’s profile, the EventPass will automatically update.


How to Complete your Health Declaration on the app

To complete your EventPass on the app, on the home screen select the 'EventPass' button. You can scroll through your EventPasses by swiping left or right. Once you have found the correct EventPass select 'Complete Health Declaration'. Once completed, your EventPass will be finalized and you should see your QR code.

If your Health Declaration is not open yet, you will not be able to complete your EventPass until it becomes available. On the EventPass for that show, the date the Health Declaration opens will be displayed. You will also receive a notification when it becomes available to complete.


How to delete an EventPass on the app

You can only delete an EventPass if it is not yet completed

To delete an incomplete EventPass:

  1. From the home screen, select EventPass (next to Upload).

  2. Find the desired EventPass by swiping left or right.

  3. If the EventPass is not completed, select the Delete icon located next to Requirements.

  4. Confirm deletion of the EventPass.

Please note that deleting an EventPass will remove the entire EventPass for that show week and you will need to recreate it from the beginning if you are still attending that show.


How to remove horses from an EventPass on the app

You can only remove horses from an EventPass if the EventPass has not yet been completed. Once an EventPass has been completed, it can no longer be edited.

If a horse is no longer attending but was included on a completed EventPass, that is perfectly okay. There is no issue with having a horse listed on the pass that is no longer coming.

If the EventPass is still pending or incomplete, you can remove a horse by following these steps:

  1. From the home screen, select EventPass (next to Upload).

  2. Find the desired EventPass by swiping left or right.

  3. Select Requirements.

  4. Select the Edit icon on the right side of the screen underneath the arrival and departure dates for the desired horse.

  5. Select the Delete icon to the right of the horse’s name.

  6. Confirm that you would like to remove the horse.

Please keep in mind that removing a horse will only remove it from that specific show week. If the horse is included on EventPasses for multiple weeks, you will need to repeat these steps for each additional show week.


How to add horses to an EventPass on the app

You cannot add a horse to an EventPass once it has been created, even if the EventPass has not yet been completed

There are two options if you need to create an EventPass for an additional horse:

Option 1: Create a Separate EventPass for the Additional Horse
You can create another EventPass for only that horse for the same show and show week(s). It will appear on a separate EventPass from your other horses, but that is perfectly okay.

Please keep in mind that once a horse is already included on an EventPass for a specific show week under your account, you cannot create a second EventPass for that same horse and week. When creating an EventPass, the app will indicate if the horse is already included on an existing pass for that show.

Option 2: Delete the Existing EventPass and Start Over
This option is only available if the EventPass has not yet been completed.

To delete an incomplete EventPass:

  1. From the home screen, select EventPass (next to Upload).

  2. Find the desired EventPass by swiping left or right.

  3. If the EventPass is not completed, select the Delete icon located next to Requirements.

  4. Confirm deletion of the EventPass.

  5. Create a new EventPass and include all desired horses.

Please note that deleting an EventPass will remove the entire EventPass for that show week and you will need to recreate it from the beginning.
